How to plan a monthly vacation rental restock

Use your booking pattern and inventory together before placing the next order.

Begin with a representative stay

That approach budgets starter supplies for every booking. It may exceed actual consumption when guests leave usable items behind. Treat the monthly result as a planning allowance, then reconcile it with inventory before turning it into an order.

Check that the booking pattern makes sense

For one property, average nights per stay multiplied by monthly bookings should fit the nights available in the period. The calculator flags combinations above 31 nights. It still produces an estimate, because the inputs may be intended as an aggregate, but the warning is a prompt to review the scenario.

If bookings differ substantially, run separate scenarios for different stay types rather than assuming one average fits everything. A long family stay and a short solo visit can use supplies differently. Save each copied list and combine only matching units.

Reconcile the list with usable inventory

  1. Count usable items in guest areas and storage.
  2. Check expected deliveries and orders already placed.
  3. Compare remaining stock with the calculated allowance.
  4. Add any extra reserve you deliberately choose.
  5. Convert the gap into the pack sizes you actually buy.

Do not add unlike units together. Rolls, bags, pods, servings, and milliliters are different measures. A “total number of supplies” would be less useful than a clear amount for each item. The original calculator keeps those units separate in the shopping list.

Translate volumes and servings carefully

Toiletries are shown as milliliter estimates rather than bottle counts. Compare the volume needed with the volume printed on your refill or retail package. Coffee and tea are servings; determine how your chosen pods, bags, or loose product translate into the way guests are served.

Illustrative stock check: if a monthly shampoo allowance is 720 ml and you have 300 ml of usable stock, the volume gap is 420 ml. Purchasing still depends on the package size available and any reserve you choose. This is a unit-conversion example, not a product recommendation.

Use actual usage to improve the next month

Record opening stock, purchases, and closing stock. The difference provides a practical check on consumption, allowing for items lost, damaged, or removed from use. Compare similar periods before changing an assumption based on one unusual booking.
